Scannable for Manufacturers | Create Serials

You create serials by raising a purchase order in Production. Scannable generates a unique serial for every item on the order, using your serial format.

Before you start

  • Set up a serial format. It sets the pattern for your serial numbers. Admins manage formats in Production › More actions › Manage serial formats. See Serial number formats.

  • Check your role. Admins, Managers and Members can create purchase orders.

How a purchase order works

A purchase order is one batch of production. Each SKU you add to it is a run, with its own quantity. Every serial on the order shares the order's batch number and date of manufacture. Raise a separate purchase order for each batch.

Create a purchase order

  1. Go to Production. Select Order, then Create purchase order.

  2. Under Select products, search by SKU name or code. Add each SKU you're making, and enter its Serial quantity. For example, enter 10 for 10 harnesses.

  3. If you work with suppliers, choose who makes the order under Manufactured by: In house or Suppliers. You only see this when you have a supplier connection.

  4. Under Serial numbers, choose Generate serial numbers with Scannable. Then select a serial format.

  5. Fill in Order info:

    • Purchase order: your PO reference.

    • Sales order number.

    • Customer reference: your customer's name.

    • Batch number: generated for you if your organisation has an automated batch format. Otherwise, type it in.

    • Date of manufacture: today, unless you change it. You can set a later date for orders with a long lead time.

  6. Select Create order.

These fields are optional, unless your serial format includes them. For example, a format that contains the batch number needs a batch number.

Scannable creates the serials straight away. The order appears in Production, with Generated as its serials source.

View and download serials

Select an order to see its serials in the View serials panel.

To download them, select the download icon on the order. You get a CSV file with one row per serial. It holds the serial number, the item's unique URL, and the product and SKU data. Use it for label printing, laser etching, or to send to a supplier.

Print labels

To print, you need a printer assigned to you. Admins assign printers on the Team page, with Assign printers. To add a new printer, contact [email protected].

  1. Choose your printer in Select printer, above the orders table.

  2. Open the order's menu. Under Print, choose:

    • Print first label to check one label before you print the rest.

    • Print all to print every label on the order.

    • Print one serial to replace a damaged label.

The Print status column shows the progress: Pending, Complete or Check printer. If it shows Check printer, fix the printer, then choose Reprint failed jobs.

Capture serials instead

Do you already mark serials on your production line? Choose Capture serials in step 4 instead. The order starts empty, and you capture serials into it with the Scannable Production App or the mobile app. See Capture serials and link NFCs.

Change or delete an order

  • Edit changes the purchase order number, sales order number and batch number. Admins and Managers can edit.

  • Delete removes the order and its serials. Only Admins can delete.

You find both in the order's menu.

Unique item pages

Each serial has its own item page. It shows the serial number, the product and SKU data, and a unique URL. Equipment owners see this record when they add the item to their inventory.
