Adding your own fields to items

Record the extra details your organisation tracks on each item, like asset tags, cost centres or certificates.

Every organisation tracks something a little different — an internal asset tag, a cost centre, a supplier invoice, a site-specific certificate. Custom fields let you add those details to your items in Scannable, right alongside the standard specs.

Custom fields are available on request. To get them switched on for your organisation, get in touch with our team using the chat, or email [email protected]. Once they're enabled, an admin can set them up for your team.

Setting up custom fields (admins)

Custom fields are set up in the web app.

  1. In the web app, go to Settings → Custom fields

  2. You'll see the list of fields available. Turn on the ones you need

  3. For each field, choose who can see it:

    • Public — shows on the item's public page, so anyone who scans the item can see it

    • Internal — only visible to people in your organisation

Filling in custom fields

Once a field is turned on, it appears on the item form when you add or edit an item, on both the web and mobile app.

Depending on the field, you can enter:

  • Text

  • A number

  • A date

  • A link

  • A yes/no answer

  • PDF attachments

Where custom field values show up

Values appear in an Additional data group on the item's Specs tab, on both web and mobile.

  • Public values also show on the item's public page

  • Internal values stay inside your organisation

Transferring items

Custom field values belong to the organisation that recorded them. If an item is transferred to another organisation, it arrives without your custom field values.

For more on editing items, see Editing an item's information.
