Get the run-down on Thorough Examinations and reporting on inspections

We have run with the language of LOLER Regulation from the UK as the current highest level of PPE inspection regulation.

This language and practice also informs the IRATA inspection guidelines, so our Thorough Examinations (TE) tool should cover demand globally.

Regular vs Thorough Examinations

We have ‘Regular’ and ‘Thorough’ inspection types on Scannable.

A regular check can be considered a daily/weekly/monthly ‘safety check’, without the need for a certificate. These safety checks are 1x1, i.e. you check a harness, it passes, and the inspection can exist on its own.

Reporting on or creating certificates for multiple items of equipment, often with the inspection ‘event’ happening over two or more days, is considered a ‘Thorough Examination’ in Scannable.

You can create these with jobs numbers, and allocate any item inspection to a ‘Thorough Examination’.

Thorough Examinations can only be created on the web-based app, but inspectors can use the mobile app to record the TE inspections.

Internal vs External / Third Party Inspectors

Thorough Examinations can be carried out internally by a member of an organisation, or by a member of an external organisation if they are invited to the organisation that contains the PPE that will be inspected.

PPE owners should have their equipment in their own Scannable account/organisation. This can be a Free account, with an inspector invited (Free accounts don’t allow for team members, other than one inspector).

How to Record a Thorough Examination (TE) and Print a Certificate / Download a PDF Report

  1. An inspector needs to be set to ‘Competent Person’ within their client organisation

  2. Inspectors can create a client’s inventory on the first inspection

  3. Inspectors can set client organisations’ inspection types and frequencies

  4. The inspection type/frequency needs to be applied to the inventory

  5. Within the Client organisation, the inspector creates the ‘Thorough Examination’ job

  6. Click on ‘Update Examination’ to edit the PDF details

  7. Enter Thorough Examination details, including Declaration / legal statement

  8. Legal basis can be set once within the inspector profile which will auto populate Thorough Examinations created going forwards

    • Click on top right corner profile to access these details

  9. Upload Signature

  10. Enter the Inspector address within the Inspector’s organisation. Access this in 'Settings' in the left hand menu

  11. Enter the Client’s address within the Client's organisation. Access this in 'Settings' in the left hand menu

  12. Select the Inspector's Address within the Thorough Examination

  13. Select the Client's address

  14. Inspector records inspections, selecting the TE Job Number

  15. The inspector sets the status of the Thorough Examination to complete

  16. Download PDF - check fields are complete
